Music in Education is committed to protecting and respecting your privacy.   

 

This policy explains why and when we collect personal information about our customers who call us, visit our website and contact us by email, and how we use that information and how we keep it secure.

 

In accordance with the Data Protection Act 1998 (the Act), the nominated data controller is Gillian Netherwood, Music in Education LLP, 15 Rowley Close, Pyrford, Surrey GU22 8TA.

 

Information we collect from you

 

The information we collect from you is required in order to provide music lessons.  This means that the legal basis of our holding your personal data is for legitimate interest.

 

We may ask for the following types of information:

  • Contact details - name, email, phone.
  • Pupil details - name, school, year group, choice of instrument, type of instrument, any other relevant information required in the delivery of the lesson, e.g. being left handed.

 

Personal data is usually provided by you in the following ways:

 

  • Through email, over the telephone or by post
  • Making payments

 

How long do we keep your information and what do we keep

 

Music in Education may retain data for differing periods of time for different purposes as required by statute or best practices. Other statutory obligations, legal processes and enquiries may also necessitate the retention of certain data. 

Music in Education may store some data such as registers, photographs, exam results, achievements, etc. indefinitely in its archive within the terms of the Data Protection Principles (the Principles) contained in the Data Protection Act and GDPR.

 

Information we may receive from other sources

 

We may on rare occasions obtain information from the school your child attends .  We use this information in order to provide your child with music lessons and therefore the legal basis for holding your personal data is for legitimate interest. 

 

How we use your personal data

 

The information you have provided is required to process your enquiry and will only be used for this purpose. We will not share your information with any third party organisation.

Your information will beheld securely and will only be used by members of Music in Education staff in accordance with our Data Protection Policy.  

 

Sharing your information with other organisations

 

Your information will never be shared with third parties, unless when complying with legal obligations or instances allowable under our Data Protection Policy.

This Privacy Policy applies solely to the personal data collected by the Music in Education and does not apply to third party websites.

Music in Education is not responsible for the privacy policies of third party websites. Music in Education advises users to read the privacy policies of other websites before registering any personal data.

 

Your right to privacy

Every individual has the right to see, amend, delete or have a copy, of data held that can identify you, with some exceptions. You do not need to give a reason to see your data.

If you want to access your data you must make a subject access request in writing to contact@open2music.com.   We shall respond within 20 working days from the point of receiving the request and all necessary information from you.  Our response will include the details of the personal data we hold on you including:

 

  • The purposes of processing the information
  • Persons or entities with whom we are sharing the information 

You have the right, subject to exemptions, to ask to:

  • Have your information deleted
  • Have your information corrected or updated where it is no longer accurate
  • Receive a copy of your personal data, which you have provided to us, in a structured, commonly used and machine readable format and have the right to transmit that data to another controller, without hindrance from us

We do not carry out any automated processing, which may lead to automated decision based on your personal data.

We put safeguards in place to keep your data secure

 

We only use information that may identify you in accordance with GDPR. This requires us to process personal data only if there is a legitimate basis for doing so and that any processing must be fair and lawful.

We also ensure the information we hold is kept in secure locations, restrict access to information to authorised personnel only, protect personal and confidential information held on equipment such as laptops with encryption (which masks data so that unauthorised users cannot see or make sense of it). We ensure external data processors that support us are legally and contractually bound to operate and prove security arrangements are in place where data that could or does identify a person are processed.

 

Cookies and website technical information

 

Like most websites, we use cookies to enable us to use Google Analytics to track anonymous usage statistics and do not collect any personal information that can be used to identify you. This helps us analyse data about webpage usage and improve our website in order to tailor it to user needs.  Most web browsers allow some control of most cookies through the browser settings.
